IMS software compared – enterprise suite, Excel or IMScheck?
There are three typical ways to run an integrated management system: a large software suite with many modules, a home-grown setup of spreadsheets, documents and shared folders – or IMScheck. IMScheck was built from hands-on practice and does exactly what an ISO management system needs: no more, but no less.
BETALaunch phase: IMScheck PRO is free until Jan 1, 2027 – full version, full security.
How IMScheck supports you – in short
- Five ISO standards integrated, shared requirements only once.
- Requirements as tasks, controlled documents, evidence on the requirement.
- Audits with central checklists, findings become actions.
- Continuous improvement with login-free ideas and effectiveness checks.
- Ready to go immediately, transparent prices, data in the EU.
The comparison at a glance
| Criterion | IMScheck | Enterprise suites | Excel, Word & co. |
|---|---|---|---|
| Focus | Built for integrated ISO management systems | Broad suites for quality, compliance, risk, processes and more | General-purpose tools with no link to the standards |
| Multiple standards integrated | ISO 9001, 14001, 45001, 50001 and 27001 in one system – shared requirements only once | Usually possible, often licensed as separate modules | Separate files per standard – integration only by hand |
| Getting started | Sign up, choose your standards, get going | Often an implementation project with consultants and customisation | Immediate – but you have to build and maintain the structure yourself |
| Cost | Transparent, from €39/month – free until Jan 1, 2027 | Often licensed per module and user, plus project costs | Licence usually in place – the effort goes into upkeep and searching |
| Standard requirements | Requirements become tasks with status, owners and evidence | Depends on product and configuration | Your own checklists that you have to keep current |
| Document control | Versions, approval and evidence in one place | Yes, often very extensive | File storage without an approval workflow |
| Audits and checklists | Audit collections, central checklists, one click from audit item to action | Yes, often configuration-heavy | Checklists in Word, actions in a separate list |
| Continuous improvement | Improvement board, ideas via QR code without login, closure only after an effectiveness check | Yes, depending on the module | No status, deadline or effectiveness logic |
| Traceability | Complete change log (audit trail) | Yes | Who changed what, and when? Hard to tell |
| Data location | EU (Frankfurt) | Depends on vendor and contract | Depends on storage (local or cloud) |

Enterprise suites: lots of features, lots of effort
Comprehensive platforms cover quality, compliance, risk, suppliers, training and often more, and integrate deeply with ERP and HR systems. For large groups with many sites and dedicated teams to run the system, that can be exactly right.
For small and mid-sized organisations it often means paying for modules that are never used, an implementation project with consultants, and an interface that is hard to use without training. The management system turns into an IT project instead of a tool.
Excel, Word & co.: quick to start, hard to integrate
Many management systems start with spreadsheets and documents – understandably, as the tools are already there and familiar. But with every additional standard the number of files grows: action lists, audit reports, document registers and checklists, each per standard.
Real integration is hardly possible this way: shared requirements are maintained several times, versions drift apart, deadlines are missed, and before every audit the hunt for evidence begins. Who changed what, and when, is usually impossible to trace.
IMScheck: from practice, for practice
IMScheck grew out of day-to-day work with management systems. That's why it has exactly the features an IMS needs – and none you first have to configure away.
Requirements become tasks with owners and evidence. Documents are controlled and approved. Audits run on central checklists, findings become actions, and every improvement closes only after an effectiveness check. Multiple standards share one structure, so shared requirements are met only once.
All data stays in the EU (Frankfurt), every change is logged, and prices are published openly on the pricing page – no implementation project required.
What fits whom?
Enterprise suite: if you are a large group with many sites, need deep ERP integration and have a dedicated team to run the system.
Excel & co.: if you are just starting out with a single standard and only a few people maintain the system – knowing that the effort grows with every additional standard.
IMScheck: if you want to run one or more ISO standards in an integrated way, be up and running quickly and use a tool your staff understand without lengthy training.
From spreadsheets to IMScheck in four steps
1. Take the free maturity check to see where you stand per standard in a few minutes.
2. Sign up and choose the standards you run – your check results are carried over.
3. Upload your existing documents and link them to tasks as evidence.
4. Record open actions on the improvement board and assign owners.
Frequently asked questions
- Does a small or mid-sized company need a large QHSE suite?
- Usually not. What matters is that the requirements of the standards are covered: document control, audits, actions, management review and evidence. A lean, specialised system is often quicker to roll out and easier to use.
- Can you run an integrated management system in Excel?
- For a single standard and a small team it is possible. With several standards it becomes laborious: shared requirements are maintained twice, versions and deadlines drift apart, and changes are hard to trace.
- How much does IMScheck cost?
- The maturity check is free forever. IMScheck PRO starts at €39 per month for a single user and €99 per month per site on the team plan. During the launch phase until Jan 1, 2027 the full version is free.
- How quickly can I start with IMScheck?
- You sign up yourself, choose your standards and can start working on tasks right away. No implementation project is needed.
- Can I keep using my existing documents?
- Yes. Upload your existing documents and link them to the requirements as evidence. From then on, versions and approvals are handled in IMScheck.
- Where is the data stored?
- Exclusively in the EU, in data centres in Frankfurt. Every change is logged in an audit trail.
